November 19, 2025
The California Department of Education
is pleased to announce that Window 2 is now open for the
2024–25 performance period.
|
Data Entry Window 1: Activities, Staffing, and Participation |
August 25, 2025–October 27, 2025 |
|
Data Entry Window 2: Outcomes and Certification |
November 6, 2025–March 6, 2026
|
The following system updates have been made for the 2024–2025 data entry reporting cycle.
→ Participation
- The ‘Not Reported in Male or Female’ category has been removed from the Sex Table on the Participation page.
- Users will now enter the total number of participants for the following categories: ‘Male’, ‘Female’, and ‘Data not provided’.
→ Outcomes
- The ‘No Data to Report’ checkbox has been removed from each Program Performance Outcome (PPO) table on the Outcomes page.
- If a center has missing data for an Outcomes measure, users should enter “0” values in the outcomes table and provide an explanation in the narrative box provided.
Future tentative system updates to be aware of and prepare for:
→ Activities (Tentative)
-
Academic Enrichment will be broken down into 3 separate sub-categories:
- Academic Enrichment – Accelerated Learning
- Academic Enrichment – Mentoring Program
- Academic Enrichment – Remedial Education or Tutoring Services
- Financial Literacy will be added as a new category
If implemented, these changes to the Activity categories will take place during the 2026–2027 reporting cycle when users are entering 2025–2026 performance data.
IMPORTANT REMINDER: California is a State with the School Year and summer reporting designation. If you have data reported for the School Year term that do not offer summer programming, they should be marked as inactive for the summer term ONLY and have data reported for the School Year term. If you mark the summer term as inactive, this will not display the Outcomes module for those inactive centers for the Summer only. This will not impact your ability to report Outcomes data for those centers for the School Year term.
Since Participation and Outcomes data are directly linked, if a center is not reporting After School Programs data during Data Entry Window 1, they would not be reporting Outcomes data for this center during Data Entry Window 2.
The Expanded Learning Division is attaching the Implementation Guide that was recently finalized by the U.S. Department of Education (ED) regarding the Annual Performance Review (APR) data collection for the 21st Century Community Learning Centers (CCLC) program. Part of this requirement is collecting data for the Government Performance Results Act (GPRA) which helps identify the benefits of our 21st CCLC programs to congress.
As a reminder, the Implementation Guide was initially written to help with the implementation of the GPRA at the state level. However, ED has allowed states to share this with our grantees as it has more detailed information including examples of what each GPRA will look like in the system. This guide includes the timelines for data collection and data to input into the 21 APR system.
