Grant Extension

The California Department of Education (CDE), Expanded Learning Division (EXLD) is pleased to announce that the After School Education and Safety (ASES), 21st Century Community Learning Centers (CCLC), and the 21st Century High School After School Safety and Enrichment for Teens Program Grants will be extended until December 31, 2020. We are working on an amendment to the AO-400 grant agreement. We will be adding additional grant assurances for the grant extension time period. Once this is completed, the amended grant award for Fiscal Year 19–20, will be emailed to all grantees to sign and return. This will be done electronically.

 

Guidance around Attendance and Expenditures Reporting

Please review the following guidance around the second half semiannual attendance reporting and the third–sixth quarter expenditure reporting for the remainder of Fiscal Year 2019–20.

Attendance Reporting for January 1, 2020–June 30, 2020

Attendance for the period, January 1, 2020–June 30, 2020, needs to be reported in the After School Support and Information System (ASSIST) by July 31, 2020. As in previous reporting periods, programs will report actual days of operation and actual attendance accrued. The CDE needs an accurate count of what the impact was during the COVID-19 and the EXLD can only get that through accurate data being reported. Any reported loss or reduction in attendance will not impact ASES and 21st CCLC grant funding during this period.

Third Quarter Expenditure Reporting for January 1, 2020–March 31, 2020

To provide grantees with the third quarter payment on schedule, expenditure reports will need to be submitted in ASSIST by April 30, 2020. The CDE will continue to process payments for the third quarter as the required reports are submitted. If you are unable to submit the expenditure reports on time, you will still be considered in good standing, it will just delay you from receiving your payments.

Fourth Quarter Expenditure Reporting for April 1, 2020–June 30, 2020

To provide grantees with the fourth quarter payment on schedule, expenditure reports will need to be submitted in ASSIST by July 31, 2020. The CDE will continue to process payments for the fourth quarter as the required reports are submitted. If you are unable to submit the expenditure reports on time, you will still be considered in good standing, it will just delay you from receiving your payments.

Fifth Quarter Expenditure Reporting for July 1, 2020–September 30, 2020

Due to the extension to the grant duration. We will be accepting a fifth quarter expenditure report that will need to be done on a hard copy expenditure report. The expenditure reports will need to be approved by your authorized agent and signed with a scanned signature, or electronically signed, and emailed to your regional analyst by October 31, 2020. The CDE will continue to process any payments that are due to the grantee based on their expenditure reports. Sixth Quarter Expenditure Reporting for October 1, 2020–December 31, 2020

Due to the extension to the grant duration. We will be accepting a sixth quarter expenditure report that will need to be done on a hard copy expenditure report. The CDE will continue to process any payments that are due to the grantee based on their expenditure reports. Please Note: You are not required to submit the 5th and 6th quarter report, it is available for those that need it. You can still closeout after the 4th quarter report if you would like to and you will receive your final payments sooner.
